What Is AI Maintenance Triage?

With PMP, it’s the step between a tenant’s call and a scheduled repair, handled by AI in minutes and documented from start to finish.

A maintenance call flowing into an AI triage hub and splitting into emergency, urgent and routine lanes

This Article Brief explains AI maintenance triage the way it runs inside PMP Maintenance: who answers the call, how the request is evaluated, and everything that happens automatically after that.

With PMP, AI maintenance triage is…

…the process of taking every maintenance request, deciding what it is and how urgent it is, and turning it into the right next step, without a person having to answer the phone, type up the ticket or chase a vendor.

It starts with AI voice agents that take tenant calls at any hour, including nights, weekends and holidays. There’s no voicemail and no queue waiting until Monday morning. Each call is captured, and the request is sent to the PMP AI Triage Center for evaluation.

The PMP Triage Center: one maintenance request comes in, the Triage Sphere works through it, and every connected system responds.

How the AI Triage Center evaluates a request

This is the AI maintenance triage. The request is evaluated for category (plumbing, electrical, HVAC, appliance and so on) and urgency, so true emergencies are separated from routine work and escalate immediately, on the path you’ve defined.

Example requestHow it’s triagedWhat happens next

No heat on a freezing nightEmergencyEscalated straight away to your on-call path

Then the work order sets itself up:

  1. A work order is created with the property, the unit, the issue, the tenant’s contact details and any photos.
  2. The right vendor is assigned and scheduled against the tenant’s availability, with confirmations and reminders sent automatically.
  3. You approve the spend. Scope and cost come to you, and work above your thresholds waits for a property manager’s sign-off.
  4. Tenant, vendor and property manager share one thread, attached to the work order, so access and timing get sorted without you relaying messages.
  5. The job is documented: completion notes, photos and timestamps are added to the record.
  6. The invoice is matched to the work order and flows into accounting, and the owner report reflects it.

Automation takes the mundane tasks off your desk

Most of the time a maintenance request eats isn’t the repair. It’s the work around it: answering the call, writing up the ticket, finding a vendor who can make it, the back-and-forth on timing, the reminder texts, the “any update?” calls, and filing the photos and the invoice. That’s exactly the work the automation completes, every time, in the same order.

You stay in chargePMP Maintenance automates coordination, not authority. Decisions that cost money or commit you still route to a property manager.

When done right, the AI Triage Center can…

  • Save time: no one retypes a request, chases a vendor or relays messages, and nights and weekends are covered without anyone on your team being woken for routine calls.
  • Save money: routine issues wait for business hours instead of triggering after-hours call-outs, real emergencies get handled before a small leak becomes a big repair, and you cover more doors without adding headcount.
  • Protect owners: 24/7 coverage becomes a service level you can show new owners, backed by a response record for every property.
  • Keep a clean record: every step is timestamped and attributed, so when an owner or tenant asks what happened, the answer is already written down.
